Guidelines for Council Sponsored Events

Deadlines will be strictly adhered to.  Any reservations received after the deadline will not be accepted and will be returned to you by mail.  Your reservation needs to be postmarked by the reservation deadline.  There will be no exceptions made.  As usual, reservations are accepted on a first come, first served basis.  TELEPHONE RESERVATIONS WILL ONLY BE ACCEPTED IF YOU ARE PAYING WITH A CREDIT CARD.
 
Unless it is indicated that a deposit is acceptable to reserve a space for your group, payment is expected in full at the time the reservation is made.  There will be no exceptions made.
 
*Girls who have registered and do not attend an event will not be provided with program materials, patches, etc.
 
You are encouraged to visit the web site for council sponsored events at www.girlscouts-wpa.org or this web page.  A registration form is available for download along with updated information on additional events being offered.
 
 

WHEN REGISTERING FOR COUNCIL SPONSORED EVENTS,
There are three ways to register for events.  Information and registratoin forms can be found in Coming Attractions, Keynotes and by utilizing the websites.
 
Do not wait until the deadline indicated to reserve a space for a council sponsored event.  If the event is a popular one, it will usually fill early.  Two things can happen if you wait too long to send in a reservation:
  • The event will already be filled and you will not be able to get a spot for your troop.
  • The event will be cancelled if we do not receive reservations early enough to indicate interest in the event.

Please send in a reservation as soon as possible for the event.  Do not wait until you have all the reservations from every girls in your troop.  Reserve a spave for the girls that have turned in their reservations to you.  Extra girls can add on to your group if there are still spaces left, and it is before the reservation deadline.  However, it is not fair to the rest of the troop to take a chance on losing a spot while you wait for the girls who did not meet the deadline that you have set.

WHEN CALLING FOR INFORMATION ON COUNCIL SPONSORED EVENTS
If you call indicating interest in an event and wish to know if there is space available, please understand that we cannot take your reservation by phone unless you are paying by credit card.  Unless otherwise indicated, the full fee is expected at teh time of reservation.

WHEN A FLIER STATES THAT ADULTS ARE LIMITED TO RATIO ONLY
Please follow Safety-Wise pages 69-71 for correct girl/adult ratio.
When we indicate on a flier that adults are limited to ratio only, the reason is as follows: many events have a limited capacity.  It is not fair to give space to adults and consequently have to turn girls away from these events.  We understand that sometimes it is necessary to have an extra adult attend an event or a need for extra drivers.  Please call the office before sending in your reservation to inquire whether this will be possible.

WHEN THERE IS A NEED FOR FINANCIAL ASSISTANCE
Financial Assistance is available for those who qualify.  Financial assistance will be considered for evets costing $15.00 and over.  Forms requesting financial assistance must accompany the event reservation form.  Please make sure that the form is completed in full before sending it in.  Financial assistance is available for all age levels for Council Sponsored Events, Resident/CORE Camp and Neighborhood Camp.  It is not available for troop events and neighborhood events.  When requesting assistance, please be advised that we do not give the full fee of any event for financial assistance.
*Any girl or adult who receives financial assistance and chooses not to attend the event or camp they have registered for, will be expected to reimburse the council for the amount given.  The adult or parent/guardian of the girls will be invoiced for the appropriate amount.
Financial assistance will not be considered for any adult or girl who owes the council money for any reason.

WHEN CONFIRMATIONS ARE SENT TO YOU
Please make sure to read your confirmation.  There is updated information on it concerning the event that you are attending.  Or we may require additional information/or a prompt response from you concerning the event.

THE REGISTRATION FEE IS NON REFUNDABLE EVEN IF YOU ARE UNABLE TO ATTEND
Collect and retain permission slips and health froms.  Health forms are required for both girls and adults.
